Privacy Policy

1. Who we are

This website and student app are run by Biozone Education Institute, conducted by Chandana Jayasinghe (Bio Zone Education Institute, Ehela Mawatha, Puwakgashandiya, Kurunegala). In this policy, "we" and "us" mean the institute. This policy explains what information we keep about students and their parents or guardians, why we keep it, and who else sees it.

Most of our students are under 18. When a student registers, we expect a parent or guardian to know about and agree to it. A parent or guardian can contact us at any time about their child's information.

2. What we collect

When a student registers, we ask for:

• Full name, name with initials, date of birth and gender
• Mobile number (used to sign in), WhatsApp number and, optionally, email
• School, grade, medium, home address and district
• Parent / guardian names and contact numbers, and an emergency contact
• Optional details such as NIC number, Grade 5 scholarship marks, achievements and future ambition

While a student attends classes, we record:

• Class enrolments, fees paid and payment records (including any bank slip uploaded)
• Attendance at the hall, taken with the student's NFC card, and attendance at live online classes
• Test and paper marks, answers submitted, and photos of answer sheets uploaded as proof
• Questions asked, chat messages with the institute, and which lessons and recordings were opened

Technical information:

• A sign-in cookie that keeps you logged in. We do not use advertising cookies or third-party tracking or analytics tools.
• If you turn on notifications, a push token for your device so we can send class alerts.
• Basic security logs, such as sign-in attempts, to protect accounts from misuse.

3. How we use it

• To register students, give them access to their classes, lessons, recordings and notes, and keep their accounts secure (including one-time SMS codes).
• To take attendance and to tell parents by SMS when a student arrives, is absent, or when there is something they need to know.
• To send class updates, timetable changes, fee reminders and results by SMS, WhatsApp or app notification.
• To mark tests and papers, and to show students and parents their progress.
• To keep fee and payment records.

We do not sell student information, and we do not use it for advertising. A student's name and marks may appear in a results or top-performers list shown to other students of the same class. Tell us if you do not want this, and we will leave the student out.

4. Who at the institute can see it

Only Chandana Jayasingheand the institute's authorised staff can see student records, and each staff account can only open the parts it needs. Students can only see their own records.

5. How long we keep it

We keep a student's records while they are with the institute. Afterwards, we keep only what we reasonably need, such as past results and payment records. When you ask us to delete information, we delete anything we are not required to keep.

6. Your rights

Under Sri Lanka's Personal Data Protection Act No. 9 of 2022, a student (or their parent or guardian) can ask us to show them the information we hold, correct anything that is wrong, or delete it. You can also ask us to stop sending messages that are not essential. Many details can be corrected directly from the student's profile in the app. For anything else, contact us using the details below.

7. Keeping it safe

Accounts are protected by phone-number verification. Data is sent over encrypted connections, and the database only lets each account read the records it is allowed to see. No system is perfectly secure, but if we ever discover a breach that affects you, we will tell you.

8. Changes to this policy

If we change this policy, we will update the date at the top of this page. If a change is significant, we will tell students through the app or our class groups.
